    Talent Mobility & Immigration Coordinator

    • Position Summary:

      Talent Mobility and Immigration Coordinator provides administrative support to the Talent Mobility and Immigration team including areas around domestic U.S. transfers, global transfers, international assignments, relocations, work authorizations and any immigration/global mobility related tasks. The Talent Mobility and Immigration Coordinator is part of a team accountable for building relationships with business managers and the support functions. This role will report to the Talent Mobility and Immigration Lead. This position will also need to work closely with other process partners, such as Finance/Tax, Human Resources including Talent Acquisition, Legal and partner vendors.

      Responsibilities:

      • Responsible for Tier-1 inquiries sent to Talent Mobility and Immigration email inbox which includes the following:
        • Responds to employee's relocation and immigration inquiries per the Company's policy and guidelines
        • Supports the management of escalations, including relocation issues and logistics, related to package or program
        • Refers employees to resources and/or best point of contact
      • Assists with sorting received mail and required immigration postings online and on-site, tracking, filing and record-keeping
      • Works closely with third party vendors and internal HR/Business counterparts to support and initiate domestic U.S. transfers, global transfers, international assignments, relocations, work authorizations and other related tasks.
      • Creates a positive relocation experience by developing relationships with relocating employees, foreign nationals, vendors and our internal customers
      • Assesses eligibility of relocation candidate per established Company policies and guidelines, including following up with the recruiter, as needed
      • Collaborates closely with the Talent Mobility and Immigration team to support large scale projects
      • Supports the Talent Mobility and Immigration team with administrative tasks including but not limited to:
        • Schedules meetings and trainings with internal partners and external vendors, coordinates associated logistics as needed
        • Prepares meeting agendas, records meeting minutes, and distributes client case summaries to the team
        • Creates, organizes, and maintains electronic documents, databases and file systems for audit compliance and tracking support
        • Enters and updates personnel data via Excel, Asana, and Workday
        • Prepares Global Mobility program metrics
        • Assists with developing and updating SOP’s
        • Prepares monthly caseload updates and reviews with client contacts
        • Creates, files and validates employee documents
        • Initiates relocation services with third-party vendor
        • Submits expense reports and documents invoices, as needed
        • Responsible for document retention management for Talent Mobility and Immigration related documents

      Requirements:

      • Strong proficiency in MS Excel, Word and PowerPoint desired
      • Excellent oral and written communication skills with the ability to communicate and interact with employees at all levels and a diverse group of stakeholders
      • Ability to work independently with limited supervision, handle multiple competing demands and projects with established deadlines, prioritizing with a flexible approach and acute attention to detail
      • Capable of identifying issues and proposing resolutions quickly and raising issues to manager/supervisor
      • Knowledge in Information Technology and/or experience with Workday will be an added advantage
      • Basic knowledge of invoices and ability to review for accuracy and prepare for payment
      • Ability to work with the highest degree of confidentiality – exercising discretion, judgment, and diplomacy
      • Ability to be highly responsive, to anticipate needs, be proactive, resourceful and flexible
      • Strong organizational and follow-through skills with the ability to work on multiple projects simultaneously
      • Able to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
      • Able to apply basic mathematical skills to business applications commensurate with the duties required of this position

      Experience/Education:

      • Typically requires general education and 2 - 4 years of related experience
      • Prior HR, immigration and/or relocation experience preferred
